1. Introduction

Praxis ("we", "our", "us") is a mobile application for private tutors to manage their students, sessions, payments, and business analytics. This Privacy Policy explains how we collect, use, store, and protect your personal data in compliance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

2. Data We Collect

• Account data: email address, display name, and encrypted password
• Student data: names, contact details, subjects, grades, and notes you enter
• Session data: dates, times, subjects, duration, status, payment amounts, and AI-generated summaries
• Payment records: amounts, dates, payment methods, and invoice details
• Business profile: business name, email, phone, and address (for invoices)
• Device data: push notification tokens, device type, and OS version
• Usage analytics: anonymous events (screen views, feature usage) for improving the service
• Crash reports: anonymous error data via Sentry for stability improvements
• Subscription data: purchase history and entitlement status via RevenueCat

3. How We Use Your Data

• Providing and operating the tutoring management service
• Sending push notification reminders for upcoming sessions
• Generating analytics and reports about your tutoring business
• Processing subscription payments via Apple In-App Purchase or Google Play Billing
• Processing tutor-to-parent payments via Stripe (UK/international) or Razorpay (India)
• AI-powered session summaries and Praxis assistant queries (Pro feature) — data sent to OpenAI API
• Google Calendar synchronisation (if you connect your calendar)
• Improving app performance and fixing bugs via anonymous crash reporting

4. AI Features and OpenAI

Pro subscribers can use Praxis (AI assistant) and AI session summaries. When you use these features, your message and relevant session data (e.g. session counts, student names) are sent to OpenAI's API to generate a response. We do not send full student contact details (email, phone) to OpenAI. OpenAI processes this data under their own Privacy Policy. AI-generated content is clearly labelled in the app.

5. Legal Basis for Processing (UK GDPR)

• Contract: Processing necessary to provide the service you signed up for
• Legitimate interest: Anonymous analytics and crash reporting to improve the app
• Consent: Push notifications (you can disable in Settings at any time)

6. Data Storage and Security

Your data is stored in Google Firebase (Cloud Firestore) with encryption at rest and in transit. Authentication uses Firebase Authentication with industry-standard encryption. We do not store payment card details — these are processed directly by Stripe, Razorpay, or Apple/Google.

Firebase data is stored in data centres within the United States and the European Union, subject to Google's standard contractual clauses for international transfers.

8. Your Rights (UK GDPR)

You have the right to:

• Access: Request a copy of all your personal data (Settings → Export My Data)
• Rectification: Correct inaccurate data (via the app or by emailing us)
• Erasure: Delete your account and all data (Settings → Delete Account)
• Portability: Export your data in JSON or CSV format (available in Settings)
• Restriction: Request we limit processing of your data
• Object: Object to processing based on legitimate interest

9. Data Retention

We retain your data for as long as your account is active. When you delete your account, all personal data including students, sessions, and payments is permanently deleted within 30 days. Anonymous analytics data may be retained for up to 12 months.

10. Children's Privacy

Praxis is designed for tutors (adults aged 18+) to manage their business. We do not knowingly collect personal data from children under 13. Student records entered by tutors are the tutor's responsibility under their own data controller obligations to parents and students.

11. International Transfers

Data may be transferred to and processed in countries outside the UK, including the United States (Firebase, OpenAI, RevenueCat, Sentry). These transfers are protected by standard contractual clauses or equivalent safeguards as required by UK GDPR.

12. Availability by Region

Praxis is not available in mainland China. The AI features (Praxis, AI summaries) rely on OpenAI's API, which is not accessible from mainland China. Users in Hong Kong and Taiwan are unaffected.

13. Changes to This Policy

We may update this Privacy Policy. We will notify you of significant changes via in-app notification or email. Continued use after changes constitutes acceptance of the updated policy.
